Position: Spa Office Operations / Front Desk Reception / Customer Support
Part-time
Shifts vary, 2-4 days per week. Must be available to work Saturdays.
This key role involves managing day-to-day operations at the front desk, ensuring a welcoming and professional environment for all clients. The ideal candidate will possess excellent interpersonal skills, strong scheduling experience for multiple service providers, and the ability to handle tasks with efficiency and precision.
Key Responsibilities & Duties:
- Customer Service: Greet clients warmly and create a friendly, welcoming atmosphere at the spa. Address client inquiries, both in person and over the phone, with professionalism and accuracy.
- Scheduling and Coordination: Manage client bookings, including scheduling, rescheduling, and cancellations. Ensure efficient scheduling of appointments while minimizing gaps in the schedule to optimize therapist availability.
- Communication: Act as the liaison between clients and therapists. Communicate any client preferences or special needs to the appropriate staff members. Maintain a positive and professional demeanor when handling client concerns or feedback.
- Administrative Duties: Maintain organized and up-to-date records of client information, appointments, and payments. Process payments and manage the point-of-sale system. Ensure that all necessary forms, waivers, and paperwork are completed by clients.
- Proactivity: Anticipate client and staff needs, ensuring the smooth operation of the front desk and common areas. Assist in cleaning and maintaining a tidy, relaxing spa environment.
- Product Knowledge: Develop a solid understanding of the spa’s services, packages, and products. Upsell and promote spa services and retail items when appropriate.
- Multitasking: Handle multiple tasks efficiently in a fast-paced environment. Balance incoming phone calls, emails, and in-person client interactions with ease.
- Appointment Confirmations: Reach out to clients to confirm appointments and notify them of any schedule changes as needed.
- Team Collaboration: Work closely with the owner, therapists, and other staff members to ensure a seamless experience for clients.
Required Skills and Qualifications:
- Previous experience in a reception, office, or customer service role
- Strong customer service skills with the ability to build rapport and foster a positive client experience
- Excellent verbal and written communication skills
- Exceptional attention to detail and organizational skills
- Ability to work independently and proactively solve problems
- Strong multitasking and time management abilities
- Experience with appointment scheduling software or similar systems preferred
- Basic knowledge of Microsoft Office (Word, Excel) and Google Suite is a plus
- Ability to work with and manage different office systems, including office phones, Mac Desktops, iMac/iOS systems, and printers.
- Willingness to learn about spa services and products
- Ability to handle sensitive information with confidentiality
- Friendly, professional demeanor with a strong work ethic
- High School education
Preferred Qualifications:
- Previous experience working in a spa, salon, or similar environment is preferred
- Familiarity with massage therapy, skin care services, or wellness practices is a plus
- Familiarity with Booker/Mindbody software a plus
- Experience with social media (Instagram and Facebook) marketing posts and content
Work Hours:
Typical business hours are from 9:30AM-6:00PM.
Part-time hours, shifts vary, 2-4 days per week. Must be available to work Saturdays.
Compensation:
Competitive hourly wage, based on experience.
