Position: Spa Office Operations Manager/Front Desk Reception Support

Full Time Position

$16-$18/hour

Coordinate all Spa operations and daily functions.   Manage all schedules, resolve issues and provide excellent client service for a busy, 8 technician Spa practice. 


Essential Duties and Responsibilities

  • Provide high quality exceptional customer service with a “going above and beyond” approach that demonstrates active listening, anticipation of clients needs, positivity, patience, empathy, and care 
  • Continuously strive to build brand loyalty with a professional image at all times
  • Manage the schedule for 3-8 spa service technicians and reception staff
  • Handle front desk duties such as greeting clients, answering and returning phone calls/ emails, scheduling spa appointments, and checking out customers
  • Serve as point of contact in scheduling and providing proposals for paid corporate massage events 
  • Provide technical support to troubleshoot common office equipment and software systems
  • Manage social media platforms
  • Create Marketing emails to clients 
  • Manage inventory and ordering of office supplies, retail, and backbar skincare products
  • Perform general clerical tasks including data entry and filing
  • Conduct orientation and provide training on point of sale system and all office procedures for front desk staff and other team members
  • Maintains office efficiency by collaborating with the owner in planning and implementing facility procedures 
  • Collaborate with team members to support policies and procedure adherence 
  •  Assist and support owner’s needs in handling daily operations 
  • Serve as a point of contact for team members on scheduling questions, policies, and office procedures 
  • Meet weekly with owner to review weekly and monthly goals


Required Skills and Experience

  • 2+ Years experience as an Front office manager or administrative assistant 
  • Must have 1-2 years experience with schedule coordination for multiple providers
  • Proficient in Google docs, Word, Excel
  • Excellent time management skills and ability to multi- task and prioritize work 
  • Attention to detail and problem solving skills
  • 2-3 years in direct customer service experience in providing customer resolutions 
  • Excellent written and verbal communication skills 
  • Strong organizational and planning skills 
  • Basic Knowledge and understanding of massage and skincare services
  • High School education


Preferred Skills and Experience

  • Experience in troubleshooting and using general office equipment such as printers and other office machines
  • Familiarity with Scheduling, booking appointments, Booker/ Mind Body plus
  • Creating social media marketing posts and content (Canva knowledge - plus)
  • Proficient with iMac and / or iOS systems
  • 2 year degree in Business or office administration preferred
  • Knowledge of Quickbook Plus


Schedule:

  • Monday-Fridays and Occasional Saturdays
  • 30 - 40  hours weekly 
  • Monday - Friday 9:45am - 5:45pm


Position starts April 15
